Follow-Up Email After Applying: Templates That Actually Work

Most candidates never follow up. The ones who do — with the right message at the right time — get interviews. Here are 3 proven templates for application follow-ups, interview thank-yous, and check-ins.

Research consistently shows that candidates who follow up after applying are significantly more likely to hear back. Yet most candidates never send a follow-up — either because they don't know what to say, or because they're afraid of seeming annoying.

Done right, a follow-up email doesn't come across as pushy. It comes across as organized, interested, and professionally persistent — all traits hiring managers want in candidates. Here are three templates for the three key moments in the process.

When to Follow Up

  • After submitting an application: 5–7 business days. Any sooner reads as impatient.
  • After an interview: within 24 hours for a thank-you. Same-day is ideal.
  • Status check-in: 1–2 weeks after your expected decision date, or 2–3 weeks after the last contact.

Template 1: Application Follow-Up

Send this 5–7 business days after submitting your application if you haven't heard back.

Subject: Following up — [Job Title] Application Hi [Name], I submitted my application for the [Job Title] role last week and wanted to follow up to confirm it was received and reiterate my interest. I'm genuinely excited about this role — particularly [one specific thing about the role or company]. My background in [1–2 relevant skills] feels directly applicable to what your team is working on. I'd welcome any update on the timeline, and I'm happy to provide any additional information that would be helpful. Best, [Your Name]

TIP

Keep it short. The goal of a follow-up is not to re-sell yourself — it's to stay visible and confirm interest. Three short paragraphs max.

Template 2: Post-Interview Thank-You

Send this within 24 hours of any interview — phone screen, video call, or in-person.

Subject: Thank you — [Your Name] / [Role] Interview Hi [Name], Thank you for taking the time to speak with me today about the [Job Title] role. I really enjoyed learning more about [specific topic discussed in the interview]. Our conversation reinforced my excitement about the opportunity — especially [something specific they said that resonated with you or that you can connect to your experience]. I look forward to the next steps, and please don't hesitate to reach out if you need anything else from my side. Best, [Your Name]

The key is specificity. Reference something concrete from the conversation — a challenge they mentioned, a project they described, an opinion they shared. Generic thank-yous ("I enjoyed our conversation and learning about the role") barely register.

Template 3: Status Check-In

Send this if you were given an expected decision date and that date has passed, or if you haven't heard anything for 2–3 weeks.

Subject: [Job Title] — Checking in Hi [Name], I wanted to check in on the [Job Title] role. I know hiring timelines can shift, and I wanted to let you know I remain very interested in the opportunity. If there's any additional information I can provide to help with the decision, I'm happy to do so. Otherwise, any update on timing would be appreciated. Thank you again for your time and consideration. Best, [Your Name]

What NOT to Do

  • Don't follow up more than twice on a single application. After two messages with no response, move on.
  • Don't write long follow-up emails re-pitching yourself. Short, professional, and to the point.
  • Don't send a follow-up the day after applying. Wait at least 5 business days.
  • Don't be passive-aggressive about not hearing back. ("I'm surprised I haven't heard anything yet...")
  • Don't CC multiple people at once hoping someone responds.
